Event Scheduling
This HowTo describes the process of scheduling events for a Range.
Each Range/Location should have a Host Application on file - on the Shoot Boss Range Data Board.
Host Applications
A Host App is only required during the initial contact with a potential range. Unless the range requires 'Additonal Insured' which is not usually requested. If Additional Insured is required a host app must be done each year.
The Host App should be posted in the Shoot Boss Range Data board.
Host App - New Range
Procedure for new Ranges:
- Get a Host App done. A new simplified Host App has been created. Much of the information such as hotels, restuarants, etc, has been omitted in order to make the process easier and get things rolling. This does not need the host signature at this point.
- Contact the potential range. Is it safe to hold an event?
- If the range is acceptable for an Appleseed then at that point you can gather all the rest of the required information using the extended host app.
- Post the host app on the Shoot Boss Range Data Board.
- PM to scuzzy or sharna.
- Fill out the Long Form Host App. Add the long form to the original host app post on the Shoot Boss Range Data Board. This forum will require a host contact signature.
Host App - Existing Ranges
If the range is already on file then a new Host App does not need to be done - unless the Additional Insured policy is asked for. See Locations below to see if a ranges is already on the system.
Locations
Before an Event can be scheduled for a Range that Location range has to be on the Appleseed system.
You will first need to find out if a Location is already in the database unless this is a brand new location.
Please read this HowTo which describes how to search the database.
If a Location is not in the database then all the info for that location must be entered into the database.
New Location
If the Location is NOT on the database then you'll need to fill out an EIP Form. Information about the Location needs to be filled out before any Events can be scheduled for that location. Some of the info is optional however some of the information is required before the new location can be approved. You will also need to fill out a HostApp before the range is able to hold an Appleseed. Read about the HostApp above.
Existing Location
First find the Location on the database. Review the information.
If there are any changes include that information on the PM along with the date for the event.
Do not include the entire EIP info in the PM. If for instance only the capacity needs to be changed then specify that. If the entire EIP is sent to us then we have to check each bit of info in order to see what we need to change. That becomes time consuming. If we know on the capacity needs to be changed then that makes it much easier.
If more than a few changes need to be you can also paste the entire existing EIP into the PM and then highlight in red any changes that need to be made. See this example.
Get the Event Scheduled
Once you have all of the information you need just send a PM to scuzzy and sharna. Once we have everything setup we'll send you a PM back. At that point you will need to double check that everything is correct.
Insurance - Additional Insured
Some ranges wish to have a special rider added to the RWVA policy and other may want Proof of Insurance from Appleseed. See the TIPS FAQ for more information about this. The FAQ describes how to get the Additional Insured policy for a range. Most ranges do not want or require this.
